DEPARTMENT DESCRIPTION:

At Cambridge Health Alliance (CHA), the pharmacy department has the best of both worlds - an innovative academic environment in a community hospital setting and an outpatient setting. The pharmacy department at Cambridge Health Alliance (CHA) is a dynamic department with cutting edge clinical services and state of the art automation and technology. We utilize EPIC for our Electronic Health Record (EHR), Pyxis technology for dispensing and have bedside bar coding implemented in all inpatient areas. All of the services we provide are performed with a focus on optimizing clinical outcomes and patient safety, increasing patient satisfaction and improving the financial sustainability of the organization.

Summary:

Within established organizational and departmental policies and procedures, the Specialist, Pharmacy Operations is responsible for the day-to-day support of departmental operations. Primary, essential job functions include maintenance and support of departmental software systems, oversight of medication ordering for all campuses, inventory control and the training of technical staff. A commitment to patient safety, customer satisfaction, efficient/effective use of resources, teamwork, innovation, and performance improvement is required.
340B - Audits:
Performs and documents self-audits, utilizing the split-billing software, of the 340B process in the mixed-use setting. Coordinates and ensures remediation of findings.
Responsible for managing and troubleshooting pharmacy billing issues and ensuring the adequate system checks are in place to prevent billing issues. Involving the manager if necessary
Monitors utilization records and 340B purchasing accounts to ensure that software is working properly and accurately, Performing audits or compliance assessments as necessary.
Evaluates patient eligibility for hospital based mixed-use areas and clinics by reviewing patient medical records, Medicaid eligibility and hospital status.
Conducts monthly audits of all 340B eligible locations serviced by the inpatient pharmacy to verify adherence with the 340B Program guidelines and policies.
Performs 340B purchasing and utilization audits or compliance assessments, as needed.
Serve as the point person for all audits of the mixed-use areas.
Participates in external compliance assessments with outside consultants, when appropriate, to validate internal processes.
340B - Inventory Oversight:
Monitors purchasing records for each site. Clearly documents exceptions or discrepancies. Relays results to site managers.
Routinely monitors utilization records and 340B purchasing accounts to ensure that software is working properly.
340B - Split Billing software:
Establishes a routine approach to updating the CDM mapping for new products and product changes to ensure both the accuracy of the utilization report and the accuracy of the charge process.
Review and process the Exceptions Dispensations reports regularly to ensure all exceptions are corrected.
Manage the Locations to ensure all new locations created at CHA are entered correctly for proper dispensation processing.
Maintains 340B split-billing software integrity and reviews applicable reports/tools to identify areas for improvement.
Assists in implementing new software packages and other changes in business practice based on changing regulations and policies.
Periodically performs spot audits or compliance assessments in specific areas and specific products to ensure the CDM is accurate, charges are coming across accurately and the utilization numbers are translating accurately into reports for 340B orders.
Coordinates with IT personnel and split-billing software for upgrades and maintenance, as needed.
DSCSA (Drug Supply Chain Security Act):
Work with DSCSA software vendor to ensure CHA compliance with all aspects of act.
Scanning of packing slips as necessary (those not sent electronically).
Act as a DSCSA resource and may provide training to pharmacy staff ensuring all have appropriate understanding of the system.
Maintains user database in DSCSA software. Add new users to system and remove users when terminated.
Coordinates with IT personnel and DSCSA software vendor for upgrades and maintenance, as needed.
Ambulance Companies:
Act as liaison with all ambulance companies and fire departments to ensure needs are being met, changes in processes are shared and issues are resolved.
Ensure all ambulance company controlled substance licenses are up-to-date and posted on the Pharmacy Teamsite
Work with ambulance contacts to ensure all ambulance employee lists area up-to-date and posted on the Pharmacy Teamsite.
Develop monthly ambulance company invoices. Ensure accuracy of billing and processing through Finance department.
Epic:
Review quarterly CMS updates for coding changes and communicate to appropriate person to make changes.
Review and process Epic work queues Pharmacy Service Dates Out of Range & Willow Charges to Review
Assist with 340B Price Lock list to ensure prices are updated annually in Epic
Assist Epic Operations Specialist with any 340B related Epic issues

MINIMUM QUALIFICATIONS:

Other information:
Education: High school diploma or G.E.D certificate is required.
Associates or Bachelors degree preferred.
Certification: Completion of a Board of Pharmacy approved certifying body pharmacy technician certification examination is required. -340B University graduate or completion within the first 3 months of employment. Apexus Advanced 340B Operations Certificate (ACE) holder or completion within the first 6 months of employment.
Registration: Must have a current technician registration in good standing from the Massachusetts Board of Registration in Pharmacy or be eligible for registration in MA.
Work Experience: Minimum of five (5) years experience as a pharmacy technician is required or three (3) years with a college degree. Knowledge of 340B regulations and compliance. Experience with pharmacy software, pharmacy automation, purchasing and reimbursement.
